How to view Staff Access

How to see which Shopify staff members can access your personalisation platform.

Overview

Staff Access shows which Shopify staff members currently have permission to use the personalisation platform. Because staff permissions are controlled entirely by Shopify, this screen is informational only. You can view who has access, but all changes must be made in your Shopify admin.

Staff Access allows you to:

  • See which staff members can access the app
  • View their Shopify roles
  • Confirm who has permission to manage personalisation
  • Navigate to Shopify to update staff access

Staff permissions are managed in Shopify. This screen shows who currently has access.

Opening the Staff Access screen

To view staff access:

  1. Open the left navigation
  2. Click Settings
  3. Select Staff Access

You will see a list of staff members pulled directly from your Shopify store.

Staff Access displays the staff who have permission to use the app through Shopify.

Understanding what you can see

The Staff Access screen displays:

  • Staff member names
  • Their Shopify roles (such as Owner, Staff, or Collaborator)
  • Whether they currently have access to the app

This information is synced from Shopify and cannot be edited inside the personalisation platform.

Staff roles and permissions come directly from your Shopify admin.

How Staff Access works

Your personalisation platform does not manage staff accounts. Instead:

  • Shopify controls who can access apps
  • Shopify assigns staff roles
  • Shopify determines which staff can install or use apps
  • Your app simply reflects the staff who already have access

This ensures that staff permissions remain consistent across your entire store.

Staff access is tied to your Shopify store’s permissions.

How to change Staff Access (in Shopify)

If you need to add, remove, or update staff access, you must do it in Shopify.

To manage staff in Shopify:

  1. Open your Shopify admin
  2. Go to Settings
  3. Select Users and Permissions
  4. Add or remove staff
  5. Update their permissions
  6. Ensure they have permission to access apps

Changes made in Shopify will automatically update in your personalisation platform.

All staff access changes must be made in Shopify.

When to update Staff Access

You may need to update staff access when:

  • A new team member needs access to personalisation
  • A staff member leaves the company
  • A contractor no longer needs access
  • A team member needs permission to install or manage apps
  • You want to restrict who can view performance or customer behaviour

All of these updates must be done in Shopify.

Best practices

  • Keep staff access limited to team members who need it
  • Remove access immediately when staff leave
  • Review staff permissions in Shopify regularly
  • Ensure only trusted staff have app installation permissions
  • Use Shopify’s built‑in roles to control access levels

Shopify roles determine who can access your personalisation platform.

Final checklist

Use this checklist to confirm your Staff Access is correct:

  • All active staff members appear in the list
  • Only authorised staff have access to the app
  • Staff roles in Shopify match their responsibilities
  • Former staff members have been removed in Shopify
  • App access is enabled for the right people

A clean Staff Access setup ensures your personalisation platform is secure and only accessible to the right team members.
